One-on-One Meeting Suites

Mutually requested one-on-ones will be held on Monday in the hotel suites, preserving the traditional intimacy that is critical to high priority meetings. These high-priority meetings will be conducted in Venetian hotel suites. Suite assignments are based on a number of factors, including number of meetings scheduled, seniority in AWDA and the date when registration is received at headquarters.

Actual suite location is based upon availability, but the Venetian will attempt to assign suites for multiple vendor teams as close together as possible.

AWDA One-on-One Conference Center

The AWDA One-on-One Conference Center is located in the Venetian Ballroom, off the Grand Foyer. Tuesday and Wednesday one-on-one meetings are held in rooms located in either the vendors’ AAPEX Booths or in the AWDA One-on-One Conference Center.

There will be an AWDA One-on-One Information Desk in the Conference Center and new this year will be a Hospitality Area where members can relax and enjoy some refreshments. Note that an AWDA name badge is required for admission to the One-on-One Conference Center and an AAPEX name badge is required for admission to the AAPEX show floor.

AWDA One-on-One Information/Hospitality Suite

AWDA will again reserve an Information and Hospitality Suite all day Monday, Nov. 3, on a one-on-one floor at the Venetian. Attendees are encouraged to visit this suite to relax with some refreshments, seek information on one-on-ones or the conference in general.

One-on-One Scheduling Information

Central to AWDA’s Conference is its unique series of one-on-one business meetings between distributors and vendors. These pre-scheduled sessions enhance members’ Industry Week experience by providing for high-quality business discussions in a personal and confidential environment. Participants are top decision-makers with member companies: both warehouse distributors and vendors. They have the clout to solve problems, find opportunities and forge new alliances. AWDA’s one-on-ones are simply the most efficient way to conduct serious business during Industry Week.

On Monday, one-on-ones will be held in the vendors’ Venetian suites. One-on-one meetings on Tuesday and Wednesday will be conducted in one of two venues:  1) private meeting rooms set up by AWDA in a ballroom adjacent to the AAPEX show floor; or 2) in vendor booths if those booths feature private, stand-alone meeting facilities. 

Computer Scheduling Process

All one-on-one meetings are prescheduled by computer, assuring an impartial matching of appointments.  Procedure allows for distributors to choose in advance those vendors with whom they want to meet.  Then vendors are given the same opportunity.  Scheduling of the one-on-one meetings is weighted toward distributor selections and mutual requests.  Priority is also based on the date the selection sheet is received. 

Twenty, 40-minute time slots, plus optional open time slots are available for meetings held in the manufacturers’ suites at The Venetian as well as in the meeting rooms on or near the AAPEX show floor.

Scheduling Meetings Online

Attendees have the option of entering 1-on-1 selections online Contact Barbara St. Aubin by e-mail at sainte@kc.rr.com or phone at 913-345-2811 and she will assign your confidential username and password. 

Then log on at http://www.saintaubinandassociates.comto enter and access your 1-on-1 information online. Please understand that once 1-on-1 selections are entered, no further changes can be made by the computer

Scheduling Meetings with Paper Forms

Distributors and vendors will also be able to schedule their one-on-one meetings using traditional paper selection forms, available from Barbara St. Aubin at sainte@kc.rr.com or 913-345-2811.  Picks from these forms are transferred to the computer database and compiled in the final scheduling process. Returning or entering the selection sheets promptly may give your company an advantage in the scheduling process. 

Timetable for One-on-Ones

Below is a projected timetable for the one-on-one scheduling process:

June 23

  • Manufacturer/ Business Service one-on-one selection sheets due. One-on-one materials to be sent separately.

Aug. 1

  • Final date for hotel reservations.
  • All conference registration forms and payments due from Manufacturer, Business Services, Distributors, and Marketing Associations.

Aug. 11

  • One-on-one meeting schedules sent to participating companies.

Oct. 17

  • Last day to receive refunds for cancellation.

Nov. 2

  • Last day for check-in of one-on-one meeting suites.

Note to participants who miss any deadlines:  While we will make every effort to assist you, please understand that you will have a more difficult time scheduling meetings and may not be able to maximize conference value.  Please contact Barbara St. Aubin to determine what may or may not be possible from a scheduling standpoint.
